We are looking for a proactive and organized individual to join our team as Office Manager/HR Assistant.
This is a hybrid role that blends administrative support, office management, and project coordination, ideal for someone eager to grow and take ownership of day-to-day operations in a dynamic environment.
Key Responsibilities
HR Assistant
- Maintaining and updating employee records in HiBob
- Preparing employment contracts, addendums, and HR documentation
- Managing onboarding/offboarding processes and employee changes
- Scheduling interviews and supporting managers with recruitment via Teamtailor
- Preparing offer letters and coordinating background checks (Validata)
- Supporting internal communications, engagement surveys, and HR initiatives
- Assisting with HR reporting (headcount, turnover, engagement metrics)
- Helping with wellbeing, learning, and cultural initiatives
- Providing general HR and project support to the leadership team
Office Management
- Maintain a well-organized and welcoming office environment
- Order supplies and manage inventory
- Coordinate office maintenance, vendors, and service providers
- Support with scheduling, room bookings, and internal events
Administrative & Team Support
- Assist leadership and teams with scheduling, travel arrangements, expense reports and meeting coordination
- Help prepare internal documents, presentations, or reports
- Act as a point of contact for day-to-day employee queries relating to internal company events, office space or ongoing internal projects
Project Coordination
- Assist with planning, tracking, and follow-up of internal projects
- Planning and coordinating company events
- including the Christmas and Summer Parties, conferences and other company-wide events
- Coordinate timelines, deliverables, and meeting notes
- Support cross-functional teams with administrative and logistical tasks
- Help ensure project documentation is up-to-date and organized

Qualifications
- Previous experience in office administration, executive assistance, or project coordination is a plus (but not required)
- Fluent in English (or other languages are a bonus)
Preferred Qualifications
Bachelor's degree or equivalent experience preferred
