About the role:

We are now looking for a Business Office Coordinator (BOC) — a role that combines strategic coordination with executive support to the Regional Senior Vice President Region International.

VFS Region International includes 6 markets, and you’ll play a key role in driving alignment, efficiency, and execution of organizational priorities across the region.

In addition to managing cross-functional initiatives and serving as a trusted advisor, the role plays a key role in ensuring that the company adheres to regulatory requirements and upholds strong governance practices.

This position requires exceptional strategic, organizational, and interpersonal skills to thrive in the fast-paced and highly regulated banking and financial services sector.

The position is based in Gothenburg, Sweden, and reports to the Senior Vice President Region International.

Main Responsibilities:

• Prepare Executive materials and follow-up: You will support the Regional SVP in preparing and delivering ad hoc presentations to the Executive management (VFS EMT), including VFS Business Planning Days, Business Review Meetings, and Townhalls. You will also coordinate regional meetings by managing facilitation, minutes, and action follow-up. You will play a key role in onboarding new RMT members (market leaders).

• Facilitate Market Support and Coordination: You will join the SVP with market visits and drive the preparation and follow-up of specific topic workshops, ensuring materials, actions, and outcomes are effectively managed. You will also support markets with ad hoc projects, including onsite initiatives. You will act as a liaison between markets and global functions by coordinating and consolidating deliverables.

• Engage with Business Areas: You will coordinate meeting preparation and follow-up with Business Areas such as Volvo Trucks, Renault Trucks, and Volvo CE, including financial updates, insurances, and strategic initiatives. You will also follow-up on strategic topics developments ensuring alignment with regional priorities.

• Coordinate Functional Governance: You will lead or support cross-functional initiatives such as joint BA/VFS insurance projects, VFS competitive strategy coordination, EaaS and rental coordination. You will also maintain oversight of activities prioritized across markets, including D&IT investments, CX, and global assessments. Working closely with Legal and Compliance, you will help maintain and coordinate projects, frameworks, policies, and processes between the SVP, markets and functions.

• You will work closely with the SVP to enable smooth day-to-day operations, including organizing meetings, and supporting travel planning. You’ll also play a key role in fostering efficient communication across stakeholders, leveraging collaborative tools and AI to enhance productivity for the SVP, MDs, and teams in the markets.

• Foster Collaboration and Community: You will work together with the other Business Office members, VFS HQ functions and EAs to share best practice, collaborate on similar market, regional or Business Area projects and activities to drive quality and efficiency as a team.

Education & Professional Experience:

• Bachelor’s degree in business administration, Management, Finance, Economics, or a related field is generally required.

• Advanced degrees such as an MBA or relevant certifications (e.g., Project Management Professional (PMP), or Governance certifications) are advantageous but not mandatory.

• Minimum of 5 years of experience in a similar role supporting senior executives, preferably within the banking, financial services, or highly regulated industries.

• Strategic thinking and organizational skills to manage multiple priorities.

• Strong project management, balancing multiple high priority projects simultaneously

• Leadership qualities to support onboarding and community-building efforts.

• Ability to work in a fast-paced, dynamic environment with high regulatory oversight.

• Strong analytical and problem-solving skills with the ability to draw conclusions from large amounts of information

• Proven team player with the demonstrated ability to influence others

• Target-driven, self-motivated and willing to take responsibility

• Experience working in an international and multicultural environment

• Fluency in English; additional languages relevant to regional markets can be a plus.
