Job Overview
Our client is seeking a proactive and well-organized Programme Administrator to oversee and coordinate administrative operations at a management level.
The role is critical in ensuring smooth programme execution by delivering structured administrative support, coordinating activities, and maintaining high operational standards across the department.
Key Responsibilities
- Coordinate and administer programme-level activities, ensuring seamless execution of administrative functions
- Organize, schedule, and support management and organisational meetings, including preparing agendas, documenting discussions, and sharing structured summaries with action items
- Provide comprehensive administrative assistance to the department, enabling efficient daily operations
- Oversee workplace facilities and resources, ensuring they meet programme and operational requirements
- Manage travel arrangements, including bookings, itineraries, and logistics for management and stakeholders
- Support procurement-related activities and handle invoice processing in line with internal guidelines
- Assist in preparing and submitting expense reports with a focus on accuracy and timeliness
- Handle onboarding and offboarding logistics for both internal and external programme resources
- Establish and maintain administrative procedures and policies to enhance consistency, efficiency, and compliance
Required Experience
- Minimum of 3 years of experience in administrative roles, preferably supporting management or programme-level operations
- Demonstrated ability to manage multiple priorities in a structured and efficient manner
- Strong organizational and coordination skills with attention to detail
- Experience in handling meeting documentation, reporting, and administrative workflows
Education Requirements
- Bachelor’s degree or equivalent qualification in Business Administration or a related field (preferred)

Work Structure
- The role is primarily based at the client’s location in Lund, Sweden
- The assignment workload is expected to range between 70% and 100%, with higher intensity during the initial phase
