We're looking for a Property & Facilities Coordinator to join our Property & Facilities team. In this role, you will help ensure smooth and efficient maintenance and project delivery across our shops, supporting both day-to-day operations and continuous improvements.

What You'll Do

As a Property & Facilities Coordinator, you'll take ownership of our CMMS platform, coordinate with suppliers, and support construction and refurbishment projects from planning to completion across our markets. You will be reporting to the Property & Facilities Consultant and work closely with Operations, Procurement, Construction, and IT to follow up on performance, identify improvement opportunities, and ensure high-quality delivery across our markets.

Key responsibilities

• Own the CMMS platform – ensure accurate case management, support users, and drive improvements to the platform.
• Coordinate suppliers – ensure clear communication, timely follow-up, and quality control of completed work.
• Support projects – coordinate schedules, documentation, suppliers, timelines, and budgets for construction and refurbishment projects.
• Follow up and report – track maintenance, costs, response times, and project progress to ensure effective delivery.
• Drive improvements – identify recurring issues and share insights to improve maintenance and processes.
• Collaborate across teams – work closely with Operations, Interior & supply, Procurement, Construction, and IT to support efficient ways of working

• Structured & organised – Able to coordinate multiple tasks, follow up on details, and keep information accurate and up to date.
• Tech-savvy – Comfortable working with digital tools and able to quickly learn and improve systems and platforms.
• Proactive & solution-oriented – Takes initiative, follows through on tasks, and looks for ways to improve processes.
• Collaborative – Communicates clearly and works effectively with both internal teams and external suppliers.

Experience & skills

• Relevant background – Vocational or technical education, or equivalent practical experience in facility management or a related field.
• Relevant experience – 1–3 years of experience in a coordination, operations, or facility support role.
• System experience – Experience working with CMMS and/or ticketing platforms is an advantage.
• Communication skills – Fluent in English and comfortable working across teams and markets.

Experience within retail, restaurants, hotels, or other businesses with a large number of locations is considered an advantage.
