For our Headquarter in Stockholm Sweden we are currently searching for an experienced HR Coordinator
Job description:
In this role you will work across the entire employee journey—from onboarding to offboarding. You will work at the intersection of people, systems, and processes.
You will play a pivotal role in supporting employees and management across the full HR lifecycle. You will be responsible for operational HR tasks, recruitment, onboarding, payroll coordination, policy development, and employee engagement initiatives.
Key Responsibilities
HR Operations & Reporting
· Prepare and submit monthly HR reports for Spain and Sweden.
· Maintain accurate employee records and ensure compliance with local labor laws.
Recruitment & Hiring
· Manage end-to-end recruitment processes via LinkedIn, recruitment agencies, Arbetsförmedlingen, and internal referrals.
· Conduct candidate screening, interviews, reference checks, and employment documentation and contracts.
Onboarding & Integration
· Coordinate onboarding logistics including welcome forms, administrative notifications, and first-day agendas.
· Facilitate HR and communication meetings for new hires.
Payroll & Benefits Administration
· Oversee timesheets and expense management.
· Liaise with payroll provider for monthly updates (e.g., personal data changes, new hires, resignations).
· Review payroll outputs and employee payslips.
· Collaborate with Finance for payroll reporting.
Insurance & Health Services
· Administer insurance enrollments and cancellations.
· Coordinate rehabilitation and health checks.
· Manage requisitions for protective eyewear.
Employee Engagement & Development
· Contribute to the OHLA newsletter and internal communications.
· Analyze employee survey results and implement improvement measures.
· Develop and roll out extended onboarding and local mentorship programs.
· Represent the company at student and employment fairs.
· Internal trainings management.
Policy & Compliance
· Update and create internal HR policies.
· Manage tax relief processes for expatriates.
· Approve and process invoices from vendors.
· Negotiate with Unions as needed
Other Services
· Administer company car orders and leasing agreements.
· Internal CV’s and job description administration.
