Assignment Description:

We are looking for a Senior Site Administrator to join our dynamic team.

What you will work on:

  • Facilitate communication between Senior Leadership and various departments/functions.
  • Collect and analyze data to provide recommendations on administrative policies and processes.
  • Provide administrative support, solve problems efficiently, and follow up with staff for detailed information.
  • Coordinate and manage the Site Leadership calendar, ensuring meetings and schedules are followed.
  • Draft correspondence, create reports and presentations, and maintain records for internal boards and committees.
  • Book and coordinate meetings, prepare agendas, and handle meeting minutes.
  • Arrange travel and manage visit planning for Site Leadership.
  • Lead workshops, manage smaller projects, and drive new initiatives within the site.
  • Ensure materials for signature are accurate and comply with policies and procedures.

  • Ability to manage and prioritize multiple, rapidly changing priorities while maintaining balance.
  • Strong ability to anticipate needs and proactively gather necessary information.
  • Ability to work confidentially and maintain professionalism in a fast-paced, complex environment.
  • Collaborative skills to work effectively with internal and external stakeholders.
  • Ability to work independently and manage leadership-level interactions.
  • Proven leadership skills, including leading workshops, managing projects, and connecting with management.

Qualifications:

  • Strong experience in administrative and management processes.
  • Solid understanding of business communication principles.
  • Fluency in both Swedish and English.
  • Knowledge of administrative policies, procedures, and systems, including travel and expense reporting.
  • Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint), Adobe Acrobat, SharePoint.
  • Experience with budget work, archiving, and purchasing routines.
