About the position

We are looking for an Administrative Assistant for our client, an independent and important agency of the European Union. The position is based at the client’s office just north of Stockholm.

Key Responsibilities:

  • Provide general support by receiving incoming communication to their respective Unit, such as mail, phone calls, and documentation
  • Organize appointments and help maintain calendars
  • Organize meetings both internally and externally, as well as assisting with the preparation of missions
  • Respond to queries and requests for information and documentation with a high level of service, tact, discretion, and confidentiality
  • Draft and finalize correspondence and other documentation as well as take minutes at meetings
  • Managing electronic and paper documents
  • Provide administrative services internally to the Unit’s staff members
  • Contribute to intra- and inter-unit teamwork and serve as a backup for administrative tasks at the Unit level

Your characteristics

We are seeking an administrative assistant with excellent communication skills, who can interact effectively with individuals at all levels. You should demonstrate a strong sense of responsibility and the ability to take initiative, along with a high level of service orientation and adaptability to meet the organization's evolving needs. Furthermore, we are looking for someone who thrives under pressure and is committed to maintaining high-quality standards. You must have a high level of discretion and be capable of handling confidential matters with utmost care.

Contract type and hours

Full-time consulting assignment until 2024-12-31. Start as soon as possible.
