Job Description

Procurement Excellence is at the core of Vattenfall’s transformation with responsibility for high performance of our existing operations but also in terms of getting the “outside-in" innovation, technology and capabilities that we need to build Vattenfall’s future businesses. To deliver on these expectations our Procurement organization has to change. It needs to become more agile, digital and sustainable and be able to engage in an optimal way with a wide range of suppliers, ranging from large industrial conglomerates, to start-ups, each requiring a specific approach. But not only that, we need to ensure more efficient operations, streamlined processes and accurate data to provide us the right insights to leverage our work.

That's why Vattenfall Procurement is now looking for the right person to fill the position as

Procurement Operations Support Coordinator

located in Stockholm.

The focus of the role is to perform key operational activities within certain timeframes which support our Procurement organization of 200+ procurement personnel in collaboration with the other team members of the Procurement Operations Support team who undertake similar tasks.

The role sits within the Procurement Excellence team (FPE) and reports into the Head of Procurement Processes & Systems.

Your tasks and responsibilities as a Procurement Operations Support Coordinator:

Procurement Operations Support Team

  • The team is geographically dispersed within the Vattenfall world, with members located in Germany, The Netherlands and Sweden.
  • The current team design consists of 6 members, including a Team Lead.

Operational Excellence

  • Processing standardized procurement processes in a timely manner to ensure efficient operations with a high focus on operationalizing contracts in SAP.
  • Optimizing the process by identifying bottle-necks, opportunities or process gaps and working with our Global Process Owners to implement necessary improvements.
  • Responsible for ensuring that all documents (SLA, KPI and desktop procedures) are followed and any changes are addressed, developed and implemented.
  • Ensure services/ business processes are delivered as expected in terms of quality and service level.

Reporting

  • Maintaining accurate purchasing information records to ensure high data quality.
  • Produce reports for both Procurement and Sustainability areas.
  • Conduct supplier screening and facilitate relevant audit processes.
  • Support with internal and external tool maintenance and administration.
  • Support the Head of FPEP and the Team Lead in setting up additional tasks, activities and related procedures and other documentation as the team evolves its service offering.

  • Other FPE and FP Team members and colleagues.
  • Members of the Sustainability, Environment & Compliance function.
  • Members of the Procure To Pay team.
  • Key business stakeholders and collaborators from other staff functions.

Qualifications

Your profile

  • Organized, proactive and results oriented with high attention to detail
  • At least 3 years of technical/ industrial or commercial vocational training
  • Or a university degree in economics, business or any other related field is beneficial
  • At least 1 year of relevant professional experience
  • Knowledge of the processes of the specialist area
  • Fluent in Swedish language (written and spoken)
  • Knowledge of written and spoken English (A2)
  • Experience working with SAP and with MS Office 365 applications preferred
  • Willing to travel to other Vattenfall Countries as required
