This is a great opportunity for you, who are in the beginning of your career and who want to get an insight into the engineering industry, working closely together with Leaders where you will have the possibility to grow with responsibility. One of your main responsibilities is being able to do more administrative tasks, coordinating and making the daily work life smooth for our Vice Presidents. You will also be given the opportunity to grow on a strategic level as well as withing project management, hence we are looking for someone with that long-term ambition.

Main responsibilities, but not limited to:

As Coordinator PMO/Engineering, you will work closely together with and support our VP for Project Management Organization as well as our VP Engineering with various administrative and coordinating tasks such as:

- Plan and organize different types of meetings.

- Organize and support with townhalls.

- Organize travels and bookings.

- Follow-up financials such as budget, time plan e.g.

- Handle expense reports and invoices.

- Follow up projects and meetings (decisions/ actions)

- Present and consolidate PMO/Engineering KPI: s regularly.

- Support making various presentations.

- Manage information flow.

You will be in our Stockholm office where our VP PMO is located. VP Engineering, who you will also work closely together with and support, is located in Campinas (Brazil).

Personal Competencies

As a person you are very driven and have the capacity to both anticipate and execute various administrative topics. You have excellent communication skills and are also able to work independently with great structure. A positive can-do attitude is a must as well as integrity in the role. To thrive in the position we also do believe you’re a strong problem solver and a creative thinker, interested in the bigger picture. Collaborations in key and we believe you have the ability to quickly build trust with different stakeholders.

Requirements

  • Bachelor’s degree in engineering, Management or finance, and preferably with project leading as a specialization.

· Fluently in Swedish & English, both oral and written since you will use both languages on a daily basis.

· Tech-savvy with excellent skills within MS Office; Power Point, Word, Excel, Outlook and Teams.

Nice to have, but not limited to

· Experience of management of multiple calendars and agendas.

· Travel arrangements and hotel bookings.

· Invoice management as invoice payment, credits, supplier contacts, problem solving and ensuring invoice is in line with service level agreements/ orders or similar.

· Meeting event planning.

· Previous experience from working in a global matrix organization.

· Performing administrative duties.
