The Machine Directorate and the Accelerator Division at the European Spallation Source (ESS) in Lund, Sweden, invites applications for an Accelerator Division Team Assistant. Description of directorate/division The Accelerator Division is responsible for the design, construction, commissioning and operation of the ESS accelerator. Our team, of close to 150 employees, is looking for a new Team Assistant to support us. Job description and responsibilities • Provide administrative support to the Accelerator Division (AD) • Organize the administrative work, implement and adjust routines • Support and inform AD staff of various administrative systems, policies and routines • Prepare and install IT equipment used in seminars and meetings • Create online travel bookings for staff, mostly when travelling in groups • Update the AD Internal website • Place purchase orders for the AD • Take care of the inventory and order new Personal Protection Equipment • Provide new employees with an introduction to the Accelerator Division • Publish information on the intranet regarding new employees, events, AD related news etc. • Update and take care of Technical Reviews, update various systems (agenda, charge etc.) • Make arrangement for external visitors (travel, accommodation, expenses, reimbursement) • Arrange meetings and workshops at ESS • Take meeting minutes • Access request for in-kinds and collaborators for system accounts • Support for In-kind collaborators at the ESS site • Information and introduction to in-kinds moving to ESS for installation Required qualifications: To succeed as our team assistant you need to be well organized and structured, with a solid experience from a similar role. We are looking for a positive and confident person with good interpersonal skills, with the ability to remain calm even in a stressful atmosphere and that will cope well with heavy workload.
